3. The “reply-all” button should be used sparingly
4. Your E-mail should have the approved Sentrim email signature
5. Use professional greetings
6. Use exclamation points where necessary and sparingly.
7. Be careful when using humor and never use emojis
8. Reply to all your emails promptly and not beyond 24-hour
9. Always proofread before pressing send
10. Edit forwarded E-mail to remove sensitive/private conversations that the recipient does not need to know.
11. Double-check the recipient addresses
12. Always consider how cultural differences may affect your communication: Avoid good morning/evening.
13. Keep your fonts simple and classic: Font size 12
14. Zip documents if heavy and many. Avoid unnecessary attachments.
15. Consider your tone. Use Please and Kindly to soften your tone.
16. Use B.C.C when sending emails to mass email addresses.
17. Ensure you format your email (to attain same font type) when coping content elsewhere.
18. Do not C.C people who have nothing to do with your E-mail subject/content.
19. “Out Of Office Replies” Should be a standard when one is away from the office for more than 3 days. Designate the person who will be in charge. Indicate email address, number and position.
20. Flag important emails. Mark read as Unread for future replies.
